Student Records and Private School Applications 2025-2026
Schools Requesting Records
Seattle Public Schools is now using a web-based application to help us manage all student records requests from other schools for transferring students.
Requests received via fax, phone calls, emails and mail from other schools will no longer be accepted.
All transferring student records requests must be submitted online using the K-12 Transfer application.This application is a secure, self-service application that is easy to use:
- Site Access. Go to https://transfer.scriborder.com/
- Sign in to an existing account OR Create Account. If you do not already have a K-12 Transfer account, one will need to be created.
- A school email address must be used to set up the account; personal email addresses will not be accepted.
- Once an account has been created, the credentials for the account will be verified. This process takes approximately 24 hours.
- An account only needs to be verified once.
- A “Your registration has been verified” email notification will be sent when the account has been completed.
- Submit Request. Login to the K-12 Transfer application and submit the request for records.
- Processing Time. Seattle Public Schools processes request electronically within 3-5 school days.
- Download the Records. When the “processing complete” email is received, you will need to login to the K-12 Transfer application to download the student records you requested.

Parents/Guardians Requesting Records
If your student is no longer attending Washington Middle School and you need records for their new school, please reach out to our Registrar, Erin Dolan, at emdolan@seattleschools.org.
You may also send your student’s new school the directions above for “Schools Requesting Records.” Washington Middle School is only able to send records if Washington Middle School is the current or last school your student attended. If this records request involves your student withdrawing from Washington Middle School, please indicate that in writing, so we can keep our rosters accurate and up to date.
In your request please include:
- Student’s Full Name
- ID Number (if known)
- Date of Birth
- Purpose of Records Request
If you are looking for immunization records, you can access Washington state’s immunization database.
Any records related to a student’s IEP must be made through Seattle Public Schools Special Education Records department: spedrecords@seattleschools.org
Private School Applications
Private School Application Requests are due Friday, December 5, 2025.
- No Requests Prior to December: Please do not request private school application records prior to December (exceptions noted below). Most private schools require Quarter 1 grades, which are not available until December 1, 2025.
- Exceptions: If you have an early or sibling application deadline, please email Ms. Dolan directly emdolan@seattleschools.org.
- Submit teacher recommendation and application records requests by December 5: Please plan and think about what the application requires and provide enough time for teachers and staff to get the required recommendations and evaluations. Do not request recommendations over winter break as staff are not checking their email.
- Teacher Recommendations: It will be at the teachers’ discretion to provide a recommendation, and they are not obligated to do so. Please have alternate teachers in mind. As noted below, students should talk to their teacher and email them prior to submitting a request. Teacher emails can be found in our Staff Directory or by logging into your Source Page.
- Review what the Application Requires: If your private school application is a PDF and has a cover page or information that needs to be filled out by the applicant/family, please fill out student information prior to sending it to Ms. Dolan, the Registrar. Ms. Dolan will send back applications with missing or incomplete information, and this may delay your application. Please do not send blank applications without reviewing what is required first.
- There is no fee for processing transcripts.

Teacher Recommendation/ Evaluation
Please have your student personally ask their teacher before sending the recommendation paperwork. Give the teacher advance notice to fulfill the request on time.
If your private school application deadline is in January, please request recommendations by December 5. Teachers will not be checking their emails and will not be working on recommendations during the holidays. If you do not request recommendations on time, teachers will not be able to provide your recommendation by the deadline.
The Registrar does not coordinate Teacher Recommendations. It is the student’s responsibility to work with teachers for recommendations.
Paper/PDF Applications (Typically Catholic Schools)
Students who are applying to private schools who have a PDF application (e.g., Catholic schools) should email Ms. Dolan, emdolan@seattleschools.org. Please fill out any information that is required on the application prior to sending to Ms. Dolan. She will not be able to release student records/transcripts without this information filled out.
